Roblox connects strategy to execution with Airtable

How Roblox unified company strategy and replaced 95% of unstructured planning in 6 weeks

Overview

Roblox is a global gaming platform where millions of daily users create and play immersive 3D experiences. The company ended 2024 with 85.3 million daily active users and $3.6 billion in annual revenue. By Q2 2025, the platform surged to 111.8 million daily active users (41% YoY increase) and generated $1.08 billion in quarterly revenue (20.87% YoY increase.)

To keep pace with this growth, Roblox needed to unify strategic planning across the company.

They partnered with Codingscape to implement Airtable as their unified strategy execution and planning platform – transforming fragmented processes into connected workflows, from strategic planning to team-level execution.

The solution drives alignment and transparency from individual contributors to executives as the company scales.

Previous attempts at building or using third-party tools never achieved organizational buy-in. Codingscape delivered a working Airtable foundation in just 6 weeks, unifying 95% of unstructured planning processes previously done in Google Docs and Sheets.

Engagement stats

  • Replaced 95% of unstructured planning previously done in Google Docs and Sheets
  • Delivered 2 weeks ahead of schedule with a working solution in 6 weeks vs 8 weeks scoped
  • 5-person specialized team including product managers, Airtable experts, and automation specialists
  • Replaced fragmented planning across 5+ tools (Google Sheets, Google Docs, Jira, Asana, Slack, etc.) with a centralized Airtable platform
  • Doubled weekly active users within 3 months compared to the previous solution

Codingscape's rapid delivery and high adoption rate showed how using Airtable with expert implementation achieves the organizational alignment and user engagement that growing companies need.

Problem

As Roblox surpassed 100 million daily active users and projected revenue grew to $4.4 billion in 2025, every department and team still managed work using their own approach to strategy, execution, and tooling. This made it nearly impossible to connect daily activities to overarching company objectives – especially for initiatives spanning multiple cross-functional teams.

Complex product launches that involved engineering, product, finance, and marketing could quickly go over budget and time when teams weren't aligned.

Imagine trying to drive alignment and transparency from individual contributors to the executive level across a 2,500+ person company with a single platform. That’s the problem Roblox needed to solve – and they needed to do it without taking tools away from their successful teams.

The key challenges Roblox faced:

  • Prioritization chaos – Teams struggled to prioritize work and track dependencies as company goals adapted to changing business conditions
  • Systems in transition – Business processes were in flux as the organization moved from the OKR model to a new planning framework
  • Inconsistent methods – Planning and tracking approaches varied both vertically and horizontally across the organization
  • Ad-hoc reporting – Multi-team project reporting happened on a per-project basis without systematic coordination
  • Unscalable infrastructure – Spreadsheets served as the primary centralized roadmapping and executive tracking tool
  • Strategy-execution disconnect – No way to systematically connect highest-level company goals to lowest-level tasks
  • Duplicate effort everywhere – Teams wasted time on duplicate progress updates across multiple systems, causing data integrity issues, user confusion, and frustration

Roblox needed a centralized way to strategically plan and track work company-wide while still letting groups customize their approaches using their preferred tools and working methods.

The solution required a platform powerful enough for enterprise scale yet flexible enough to preserve team autonomy - and Airtable fit perfectly.

Why Airtable?

Airtable's flexible data model, automation and AI, and ease of use made it the ideal platform for Roblox's new strategy and planning tool.

Unlike rigid enterprise tools or disconnected spreadsheets, Airtable provided the perfect balance of structure and flexibility that Roblox needed.

  • Flexible enough to accommodate diverse team workflows without forcing standardization
  • Powerful enough to handle ~35 interconnected tables with complex relationships
  • Intuitive enough to achieve 15% of employees using the product weekly without extensive training
  • Fast enough to build and modify dashboards in real-time as needs evolve
  • Connected enough to integrate with existing tools like Jira and Asana

Its no-code interface capabilities meant teams could adopt it quickly, while its robust API and automation features enabled deep integration with existing tools.

With the right platform selected, Codingscape set out to build a solution that would finally connect Roblox's strategy to execution in just 6 weeks.

Solution

"Great job all. It was exactly the right flow from schema to the tool."

– Arvind KC, Roblox Chief People and Systems Officer

Roblox partnered with Codingscape to build a centralized solution using Airtable as the foundation. Airtable's flexible database structure and interface capabilities made it ideal for creating a unified system that could:

  • Centralize company goals, work, and metrics in a single platform
  • Align and prioritize work planning across all teams
  • Provide transparency on in-flight and planned work to enable informed decisions
  • Surface critical information for quick prioritization and pivoting
  • Streamline cross-team work requests
  • Simplify capacity planning across the organization

Codingscape deployed a three-track strategy to address Roblox's complex planning challenges:

Schema & Design

The schema evolved through several iterations to ~35 interconnected Airtable tables.

Integration & Automation

Codingscape implemented Workato to bridge Jira and Asana into Airtable using a webhook model:

  • 75 Airtable automations for internal workflows
  • Asana integration: 4 Workato recipes with 96 total steps connecting to Slack and Airtable
  • Jira integration: 4 Workato recipes with 347 total steps connecting to Slack and Airtable

These integrations preserve existing team workflows while centralizing data for company-wide visibility.

User Experience

  • Built custom dashboards tailored to different roles and teams
  • Created intuitive Airtable interfaces for easy data access
  • Enabled rapid dashboard creation to respond to new organizational needs

This modular system captures both top-down strategy and bottom-up execution in one unified platform, replacing fragmented spreadsheet-based processes.
